Terms of service for repair shops

Sherom ("we") is online software for running auto repair shops: work orders, quotes, photos, inventory, payments, electronic invoicing and WhatsApp messages to your customers. By creating an account you accept these terms on behalf of your shop ("the shop", "you").

You are responsible for making sure your sign-up details are accurate, for keeping your team's passwords safe and for what the users you invite do. Let us know right away if you suspect someone has accessed your account without permission.

New accounts get a 14-day trial with every feature. When it ends, the account moves to the free plan (with a monthly limit on work orders) until you choose a paid plan. Current prices are shown in the app; if they change, we will notify you at least 30 days in advance. You can cancel at any time and keep access until the end of the paid period.

The data you record about your customers and their vehicles (names, phone numbers, license plates, photos, job and payment history) belongs to your shop. Under Ecuador's Organic Law on Personal Data Protection (Ley Orgánica de Protección de Datos Personales), your shop is the data controller for that data and Sherom acts as the data processor: we only use it to provide the service to you, following your instructions.

As the controller, you agree to:

• Record only data your customers gave you in order to service their vehicle.
• Let them know you use Sherom to manage their order and send them messages.
• Send reminders and review requests only to customers who have not objected to receiving them.
• Handle their requests for access, correction or deletion; we help you fulfil them.

As the processor, Sherom agrees to:

• Not sell that data or use it for our own or third-party advertising.
• Keep it encrypted in transit and with access restricted to your account.
• Notify you without delay if a security breach affects it.
• Delete it or hand it over to you if you close your account, as described in section 9.

To run the service we use providers that process data on our behalf: Vercel (hosting), Neon (database), OpenAI (reading photos and voice notes, and suggestions), Kapso and Meta (WhatsApp messages) and the SRI, Ecuador's tax authority (invoice authorization). We only send them what each feature needs.

Messages are sent from your shop's WhatsApp number and you must comply with WhatsApp Business policies. Payments collected through Payphone go straight to your Payphone account: Sherom never receives or holds your money. Electronic invoices are issued under your RUC (tax ID) and your electronic signature; you are responsible to the SRI for the content of each document.

You may not use Sherom to send spam, impersonate other businesses, record data obtained without consent or try to access accounts that are not yours. We may suspend accounts that break these rules.

We work to keep the service available at all times, but there may be interruptions for maintenance or because of outages at providers such as the SRI or WhatsApp. Sherom is not liable for indirect losses or lost profits; our total liability is limited to what you paid in the last 12 months.

You can ask us to close your account at any time. We will give you a copy of your data if you request it within the following 30 days; after that we delete it, except for anything the law requires us to keep.

Sherom is a service operated by Rommel Alexander Valdiviezo Quimbiamba, RUC 1752416907001, Quito, Ecuador.
